Privacy Policy

How UMAX Fleet Solutions LLC collects, uses, stores, and shares information about drivers, fleets, and users of the UMAX Fleet application and services.

Plain-English summary. We collect the data we need to operate the UMAX Fleet app — fleet account info, driver profiles, transactions, and location while the app is in use — and nothing else. We don't sell your data. We don't share driver behavior with third-party advertisers. Cards and credentials are encrypted in transit and at rest.

1. Overview

This Privacy Policy describes how UMAX Fleet Solutions LLC ("UMAX," "we," "our," or "us"), a Delaware limited liability company, collects and processes personal information through the UMAX Fleet mobile application, web dashboard, APIs, and related services (collectively, the "Services").

2. Scope

This Policy applies to fleet account owners, fleet administrators, drivers, invited users, and visitors to our public marketing pages. It does not apply to third-party services that interoperate with UMAX (for example, fleet card networks or fuel station operators), which are governed by their own privacy notices.

3. Data we collect

3.1 Account information

When you create a fleet account, we collect the fleet's legal name, billing address, point-of-contact email, and authorized administrator details.

3.2 Driver profiles

Driver name, email, phone, vehicle assignment, and CDL number (where provided by the fleet administrator). UMAX does not require photo, date of birth, or biometric information.

3.3 Transaction data

For each fueling event we record: station, location, timestamp, gallons, pump price, discount applied, net price, and the fleet card used. We do not store full primary account numbers (PANs) — fleet cards are referenced by tokenized identifiers issued by the card network.

3.4 Location data

The mobile app collects location only while the app is in use, and only for routing, stop discovery, and price localization. Background location is requested only with explicit driver consent and used solely to surface time-sensitive savings on the active route. Location data is never sold, licensed, or shared with advertising networks.

3.5 Device & diagnostic data

We record device model, operating system version, app version, crash reports, and aggregated performance metrics to operate and improve the Services.

4. How we use data

To provide, operate, and maintain the UMAX Fleet Services.
To compute fuel pricing, savings, and per-trip analytics.
To authenticate users and protect against fraud.
To process payments, billing, and reconcile fleet card transactions.
To communicate operationally — service updates, security alerts, billing notices.
To comply with legal obligations and respond to lawful requests.

We do not sell personal information, share driver behavior with advertising networks, or use UMAX data to train external AI systems.

We share information only as follows:

Fleet card networks — to authorize transactions and apply discounts.
Payment processors — to bill subscriptions.
Infrastructure providers — cloud hosting and database services under contractual confidentiality.
Legal compliance — when required by subpoena, court order, or applicable law.
Corporate transactions — in the event of a merger or acquisition, subject to continuity of this Policy.

6. Retention

Account and transaction records are retained for the duration of the account and for seven (7) years thereafter to comply with financial recordkeeping obligations. Location data is retained for ninety (90) days in identifiable form and anonymized thereafter. Crash reports are retained for thirty (30) days.

7. Security

All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Access to production systems is role-restricted, logged, and reviewed quarterly. We operate under SOC 2-aligned controls and conduct regular third-party security assessments.

8. Your rights

Depending on your jurisdiction (including under the California Consumer Privacy Act and the EU/UK General Data Protection Regulation), you may have the right to access, correct, delete, port, or restrict the processing of your personal information. 9. Children

UMAX Fleet is a B2B service intended for fleet operators and commercial drivers. We do not knowingly collect personal information from children under the age of 16.

10. Cookies

Our public website uses only strictly necessary cookies (session, authentication, CSRF protection) and aggregated analytics cookies that cannot identify individual visitors. We do not use advertising cookies, cross-site trackers, or third-party marketing pixels.

11. International transfers

UMAX is operated from the United States. If you access the Services from outside the U.S., your information may be transferred to and processed in the U.S. We rely on Standard Contractual Clauses where applicable.

12. Changes to this Policy

We will update this page when we make material changes and will notify active fleet administrators by email. The "Effective" date at the top reflects the most recent revision.
